The short version: We collect only what we need to complete your service. We never sell your data. We delete everything after 12 months. You are always in control.
1. Who we are
Ontrend Solutions is a remote online cyber cafe based in Nairobi, Kenya. We provide assisted access to Kenyan government portals including KRA iTax, eCitizen, SHA, NTSA TIMS, HELB, NSSF, TSC and others. We can be reached at samtekhsolutions@gmail.com or via Contact on +254 740 754 645.
2. What personal data we collect
We collect only the minimum data necessary to complete the specific service you have requested:
- Identity documents: National ID (front and back), and where required, a selfie holding your ID.
- Personal identifiers: Full name, ID number, KRA PIN, date of birth.
- Contact details: Phone number and email address linked to government portals.
- Payment information: M-Pesa transaction confirmation (name and amount only — we do not see your full M-Pesa account).
- Service-specific documents: P9 forms, payslips, logbooks, or other documents required for the specific service you requested.
- Temporary credentials: Portal OTP codes shared in real time during service delivery.
3. How we use your data
Your data is used solely and exclusively for the following purposes:
- To verify your identity before accessing any government portal on your behalf.
- To complete the specific service you have requested and paid for.
- To maintain a transaction record for accountability and dispute resolution.
- To contact you with updates or questions related to your active service request.
We do not use your data for marketing, profiling, analytics, or any purpose beyond your requested service.
4. How we protect your data
- All client documents are stored in password-protected, encrypted cloud storage (Google Workspace). They are never stored on personal devices.
- Portal passwords and OTP codes are never recorded or stored. They are used in the moment and discarded immediately after service delivery.
- Access to client folders is restricted to verified Ontrend Solutions operators only.
- All communication containing personal data is conducted through encrypted channels (Contact end-to-end encryption or encrypted email).
5. Data retention
We retain client documents (ID copies, payment receipts, service confirmation screenshots) for a maximum of 12 months from the date of service delivery. After 12 months, all data is permanently deleted. You may request earlier deletion at any time.
Temporary credentials (passwords, OTPs) are deleted immediately after service completion — not stored, not logged.
6. Data sharing
We do not sell, rent, trade, or share your personal data with any third party under any circumstances. The only exception would be if required by Kenyan law enforcement with a valid legal order — in which case we would notify you to the extent permitted by law.
7. Your rights under the Kenya Data Protection Act 2019
You have the following rights regarding your personal data:
- Right of access: You may request a copy of all data we hold about you.
- Right to rectification: You may request correction of inaccurate data.
- Right to erasure: You may request deletion of your data at any time before the 12-month retention period.
- Right to object: You may object to how we process your data.
- Right to lodge a complaint: You may complain to the Office of the Data Protection Commissioner of Kenya.
